Creating Document Review Models

  1. From the SmartSolve Portal Page, click the Home tab.
  2. In the Setup and Policy section, click Policy.
  3. In the Document Management section, click Review Model.
    Result: The Review Models list window is displayed.
  4. Click Action > Add.
    Result: The Review Model entry window is displayed.
Field Description

Code*

Enter the code of the new review model.

Name*

Enter the name of the new review model.

Document Status

Enter the initial status for affected documents, such as DRAFT or INWORKS.

Phase

Enter the initial phase for affected documents, such as COLLABORATION NEEDED.

  1. Click the Save button.
    Result: The new review model has been added and the Review Models list window is displayed.
  2. Click the Schedule link of the newly created review model.
    Result: The Schedule folder for the new review model is displayed.
  3. Check the checkbox of the Default Document review and select Action > Delete.
  4. Click Action > Attach.
    Result: The Review Model Schedule entry window is displayed.
  5. Enter information in the following fields:
Field Description

Review Type Name*

Zoom to select the review type to be attached to the review model. For additional information about configuration, see Review Types.

Review Option

Click the drop down arrow and specify the review option:

  • Optional - The review can be closed without being completed.
  • Recommended - The review can be closed, but is recommended for completion.
  • Required - The review cannot be closed without being completed.

Interval

Enter the interval for when a periodic review will be scheduled.

Advance Notice

Enter an interval for when the system notifies the document owner that a periodic review needs to be started.

Phase

Click the drop down arrow and select the phase to be set in the document when the review is routed. For additional information on configuration, see Document Phases.

  1. Click the Save button.
    Result: The review is displayed in the Schedule tab of the Review Model record.
  2. Check the checkbox for the review.
  3. Click Action > Edit.
    Result: The Review Model Schedule edit window is displayed. The data in the fields below will transfer from the review type.
Field Description

Review Name*

Displays the name of the review type attached to the review model.

Review Purpose

Enter the purpose of the review. This is the statement that will be inserted for each approver signing off on the review.

Review Group

If more than one approver must approve the document, zoom to select the review group to attach to the review type.

Phase

Click the drop down arrow and select the phase to be set in the document when the review is routed.

Checklist

Zoom to select the checklist to be attached to the review type.

Auto Close

Check this checkbox to automatically close the review once the last approval rule is met (reviewer approves). If this box is not checked, the document owner is notified once the last approval is complete. The document owner must manually close the review in the document to change the status or reschedule the next periodic review.

Applicable Status

Click the drop down arrow and select the status that will activate the review in the document, such as INWORKS.

To Status

Click the drop down arrow and select the status the document will change to once the review is closed, such as PRERELEASED.

Phase on Start

Click the drop down arrow and select the phase the document will change to once the review is routed, such as UNDER RELEASE REVIEW.

Phase on Close

Click the drop down arrow and select the phase the document will change to once the review is closed, such as EFFECTIVENESS REVIEW SCHEDULED.

Review Option

Click the drop down arrow and specify the review option:

  • Optional - The review can be closed without being completed.
  • Recommended - The review can be closed, but is recommended for completion.
  • Required - The review cannot be closed without being completed.

NOTE: Steps 8-12 must be repeated for all review types to be added to the review model.
